The quote is where maintenance turns into revenue — and where it leaks the most: proposals written in a word processor, outdated prices, parts promised that are no longer in stock, approvals nobody turns into a job. In Atus quotes use the same catalog, the same stock and the same customer as the rest of the system, and become work orders without retyping.

Built from what the system already knows

A quote is made for a customer and for their contact, with the name and email of whoever will approve it. Line items are organized like a work order — services, fees and parts — each with quantity, unit of measure and unit price, and the quote accepts a discount and notes.

Parts come from the catalog with the right unit, so what was quoted by the litre is billed by the litre. Amounts are stored as whole cents, with no rounding drift in the total.

A status cycle sales can actually follow

Every quote follows a fixed path, and only transitions that make sense are allowed. Content can be edited while it is a draft or sent; once the customer decides, it becomes a record.

Each quote's history keeps its status changes with author and date — handy when the customer says they approved it over the phone last week.

The PDF your customer receives

Quotes are rendered as PDFs with your company's logo and colours. Generation is asynchronous — you keep working while the file is built — and every generated PDF is kept for download later.

You choose whether the “valid until” column appears. The choice is frozen when the PDF is generated, so changing the setting later never alters a document the customer already has.

Promised parts stay reserved

When a quote is approved, its parts are reserved in stock. They stay on the shelf but leave the available balance, so sales cannot promise the same material to another customer.

If the quote is cancelled, the reservation is returned. If it becomes a work order, the reservation is released and stock moves with the parts logged during execution.

Approved? It becomes a work order

An approved quote is converted into a work order by entering the title, type, priority, asset, assigned technician and due date. The description comes from the quote's notes, and the work order's history records that it was born from a quote.

No retyping and no risk of the job drifting from what was sold: the customer, the items and the link to the quote travel together.

Quotes go into the billing close too

In the accounting module, quotes have their own close reports, filtered by period, customer and status, under the same billing-status control used for work orders.

From the customer's request to a scheduled job

A customer asks for a motor replacement. The quote is built with labour as a service, travel as a fee and the motor and bearings as catalog parts, with a negotiated discount and a fifteen-day validity. The PDF goes out with your logo to the customer's contact.

Approved in time, the motor is reserved in stock and nobody promises it to another customer. The quote is converted into a corrective work order with a technician and a due date, and follows the usual execution flow. If the customer never replies, the quote expires on its own and leaves the pending list.
