An equipment register is worth what it can answer: where the machine is, who owns it, what has been done to it and when the next job is due. A register the field crew can actually use
Every asset has a name, code, serial number, manufacturer and model, and a location on three levels — site, building and floor — which is how a technician finds a machine inside a hospital or an office tower.
For service providers, the asset belongs to a customer. That is what lets you see each customer's equipment separately, open a work order straight on the right asset and include specific assets in a contract.
Categories and statuses that organize the fleet
Assets are classified into eight categories — HVAC, electrical, plumbing, mechanical, safety, IT and networking, medical equipment and other — and filtered by them in the dashboard and in the app.
- Operational — running normally.
- Needs maintenance — in use, with a pending job that must not be forgotten.
- Out of service — stopped, waiting for a repair or a part.
- Decommissioned — retired from operation, kept in the register to preserve its history.
History instead of memory
The asset record gathers the work orders done on it, filterable by type — preventive, corrective, inspection, calibration — and by status, and shows the date of the last maintenance and of the next one. Every work order leads to the full detail: checklist, photos, parts replaced, hours, signatures and report.
When the machine fails again, “what has already been done here?” is answered in seconds, without depending on whoever attended last time.

The asset at the center of the operation
Every module uses the same register, so information meets without rework:
- Preventive plans — each plan points at the asset, and the work orders it generates are born linked to it.
- Contracts — the contract lists the assets included in its scope.
- Documents — manuals, reports and certificates linked to the asset, with expiry tracking in document management.
- Calibration — with the metrology module enabled, the asset's calibration history and issued certificates.
The asset record on the technician's phone
In the app, technicians search assets, filter by category and open the record with details, specifications, last and next maintenance, maintenance history and related work orders.
Assets are part of the app's offline cache, so lookups work inside the plant room, where the signal rarely reaches.
Each customer's equipment, separate and at hand
For service providers, the asset register is also the customer's inventory. When a work order is opened, that customer's assets are offered; when a contract is built, covered assets are picked from the same list; and every document or calibration is linked to the asset and the customer at once.
That is what lets you walk into a contract renewal with answers: which assets were visited, which needed corrective work, which are out of service and which documents are about to expire — without building a separate report.
