Reusable templates that become the crew's standard
A checklist template is the inspection list you want repeated on every job of that kind: the chiller preventive, the switchboard inspection, a site handover. It is built once, has a name and a version, and can be deactivated without being deleted when it falls out of use.
Templates are managed in the dashboard and in the app, for teams that build checklists in the field. When a work order is created, the right template is picked from a list — nobody retypes the items.
One checklist for the company, another for the demanding customer
Each template can apply to the whole company or be assigned to a customer. That is how the hospital with its own inspection points gets its checklist without it showing up on a residential building's work order.
When a work order is opened for a customer, the picker shows exactly what applies: the templates assigned to that customer plus the company-wide ones. No endless list of checklists from other contracts.
Every question with the right kind of answer
Not every check is an “OK”. So each item chooses how it is answered, and items can be grouped into sections that follow the real sequence of the job.
- Checkbox — checked or not — the classic format, quick to answer with gloves on.
- Free text — for readings, noted measurements and any answer that needs words.
- Choice — closed options such as “compliant, non-compliant, not applicable”, which keep answers comparable.
- Per-item note — the technician comments on the item itself instead of losing it at the bottom of the work order.
Required photos where the technician's word is not enough
An item can be marked as requiring evidence. It can then only be completed with a photo attached — in the app, over WhatsApp or through the web link. The photo is tied to the item, not dropped in the gallery, and appears in the report next to the answer.
It is the kind of detail that changes an audit: instead of “filter replaced”, the customer sees the replaced filter.

Answered wherever the technician is
In the app, checklists work offline and every answer goes into the sync queue. Over WhatsApp, the assistant walks through the checklist item by item and asks for the photo when an item requires one; if the technician replies to an earlier question, the answer is routed to the right item. And through the web completion link, the checklist can be answered in any browser.
Every channel writes to the same place: the checklist the manager follows in the dashboard is the one the technician answered, whichever way they did it.

Preventive plans carry a checklist that is copied into every work order they generate. Service contracts can hold checklists of their own, and every stage of an execution phase has its own list. The result is that technicians rarely have to choose: the checklist arrives with the work.
