Manufacturer manuals, inspection reports, certificates, procedures, subcontractor contracts: maintenance runs on documents that expire, change version and have to be produced when the auditor asks. In Atus document governance every document has a folder, a link to its customer and asset, an expiry date, access control and a history — and the documents you issue can be generated from templates that produce the PDF.

A folder tree that mirrors the operation
Documents are organized into folders and subfolders, in the order you choose: by customer, by document type, by standard. Each document has a title, notes and attachments, and the list filters by folder, customer, asset and status.
The document next to what it describes
A document can be linked to a customer, an asset or both. The chiller manual stays with the chiller, the customer's report stays with the customer — and whoever opens one finds the other.
Expiry that does not depend on anyone remembering
Documents have a status — draft, active, archived — and can carry an expiry date. An active document shows as expired the day after that date, automatically, with no review routine and nobody changing the status by hand.
Archived documents and drafts do not “expire”: they are already out of circulation, and the system keeps the real reason they are not in use.

Who reads and who edits, document by document
Every document and every folder has its own access list, separating read from write and granting by user or by role — technician, manager, finance. A supplier contract can be visible to management only, while the safety procedure stays open to the whole technical team.
Administrators see everything; everyone else sees exactly what they were granted.
Every document's history
Each document keeps a record of its events: created, updated, archived, restored and deleted, with author and date. At audit time, “who replaced this file?” has an answer.
Templates that become PDF documents
For the documents your company issues, the template builder sets up the structure once and filling it in produces a PDF. Templates are versioned and published when they are ready.
- Fields — text, number, choice, checkbox, image and file, organized into sections with dividers.
- Tables with formulas — columns calculated from the others and a totals row, with the same arithmetic in the preview and the PDF.
- Automatic fill — placeholders such as {{customer.name}} are replaced with the document's data, and repeat blocks produce one row per item.
An inspection report with a deadline, from upload to expiry
An asset's annual inspection report is created in the customer's folder, linked to the asset, with the PDF attached and the expiry date filled in. Permissions give technicians read access and management alone edit access.
Until the date arrives, the document shows as active. The day after it expires, it shows as expired in every list and filter — and filtering for expired documents surfaces exactly what needs renewing.
The new report goes in as a new document, and the old one can be archived without leaving the history: at audit time both are there, each with its own dates.
